Outreach

Outreach is how you contact people at scale and keep a record of it. You use it to run campaigns, send follow-ups automatically instead of remembering to, work a call list, and see what landed — delivered, opened, clicked, replied. It is used by whoever owns pipeline generation: a marketer running campaigns, a rep working a sequence, or an owner doing both. Everything it sends is tied back to the contacts and deals in CRM.

Power Dialer and Content Studio are not currently listed in the sidebar; reach them at /dashboard/outreach/dialer and /dashboard/outreach/content-studio.

Getting started

  1. Connect a mailbox first. Outbound mail goes through your connected Gmail or Outlook account, and until one with send permission is linked, emails sit queued. Sent Emails shows a Connect a mailbox link when this is the case.
  2. Open Email Templates and select New Template. Give it a Template Name and a Subject Line, and insert variables where you want each recipient's details filled in.
  3. Go to Sequences and select New Sequence to build a multi-step follow-up from those templates.
  4. Open Outreach and select Create Campaign for a one-off send.
  5. Come back to Sent Emails after your first send to confirm messages are being delivered.

Running a campaign

  1. On Outreach, select Create Campaign.
  2. Fill in Campaign Name, Description, and Audience, then pick a ChannelEmail or Social. Social campaigns also ask for a Platform.
  3. Set Start Date, End Date, and a Budget if you are tracking spend.
  4. Select Create. On the campaign's own page use Start to launch it, and Pause or Resume as needed.

The top of the Outreach page carries Total Campaigns, Active, Total Sent, Avg Open Rate, and Avg Click Rate; each campaign shows its own Sent, Open Rate, Click Rate, and Replied.

Two extras live on a campaign's page. Configure budget and Log spend track spend against the budget with warning and critical thresholds, and can pull spend from a linked Meta or Google Ads account. Run A/B test varies one thing across recipients — Subject line, Send time, Sender, or Template — across up to four variants, and reports a winner once it reaches 95% confidence.

Automating follow-ups

Sequences send on a schedule without you touching them.

  1. Open Sequences and select New Sequence.
  2. Give it a Sequence Name and Description, then save.
  3. Add the steps and the delay between them.
  4. Select Activate to start it running, or Pause to stop sends without deleting it.

For actions that are not emails, use Automation Rules. Select New Rule, choose a trigger — Deal moves to stage, Lead score exceeds, or Task becomes overdue — and an action: Create task, Send notification, or Change owner.

Working a call list

  1. Open Power Dialer and select New campaign.
  2. Name it, choose an audience from your saved contact audiences, and set Max attempts per contact, then select Create campaign. Contacts without a phone number on file are not included.
  3. Select Work queue to start. Your phone rings first, then the contact is connected.
  4. After each call, record what happened — Connected, No answer, Busy, Voicemail, Wrong number, Not interested, Do not call, or Callback — and add notes, which are saved to the contact's timeline.

You need a phone number on your own profile before you can dial; the page will tell you if one is missing.

Seeing what happened

Sent Emails tracks every outgoing CRM email with Delivered, Opened, and Clicked counts, filterable by status, template, and date range. Treat open counts as directional: Apple Mail Privacy Protection loads tracking pixels on unread mail, inflating them, and recipients who block images deflate them.

Synced Emails is the other direction — mail pulled in from connected inboxes and linked to the CRM record it belongs to. Sync Status covers external CRM providers, where you set each one to Pull + Push, Pull only, or Push only and choose how often it runs. See Integrations for connecting the accounts themselves.

Availability

Outreach is enabled by default in the agency, professional services, e-commerce, SaaS, nonprofit, and general packs, and switched off by default in the construction and manufacturing packs. That is a pack default, not a restriction — you can switch it on yourself. The module has no entitlement gating, so it is available on every plan.
