Payroll

Payroll is where you pay your people and keep the records that go with it. You can mirror runs from a payroll provider you already use, or run payroll in-house on SaaSy — calculating gross to net, producing pay stubs, and generating the federal filing artifacts. It also holds each employee's withholding and pay setup, and your employer and state tax registration details.

Getting started

  1. Open Payroll settings and fill in Employer identity & federal filingLegal name, EIN, and address. Select Save employer profile.
  2. Record your Federal deposit schedule and, if a reporting agent files for you, the Form 8655 status and Form 8655 signatory name.
  3. Under State tax registration, select Add state and record the withholding and SUTA / UI account number for each state you operate in.
  4. Go to Pay & Tax Setup. Employees appear here once they exist in the People module — select one and configure their W-4 and pay rate.
  5. If you use an outside provider, open Payroll Runs and select Sync now. To run in-house, go to Native Payroll Runs instead.

Setting up an employee

Employee identity lives in the People module; Pay & Tax Setup adds the payroll-specific parts.

  1. Select an employee from the directory.
  2. Under Update W-4 federal withholding, set the Effective from date and Filing status, then the Step 2, 3, 4a, 4b, and 4c fields as they apply. Select Save W-4.
  3. Under Update pay rate, choose a Rate typeSalary (annual) or Hourly — enter the amount and Pay frequency, then select Save pay rate.
  4. Add the Social Security Number and direct-deposit details. Both are encrypted at rest, and only the last four digits of an account are ever shown back to you.
  5. Add recurring Benefits & deductions, each with a Deduction name, Amount per period ($), and a Benefit type (tax treatment).

Running payroll in-house

  1. On Native Payroll Runs, select New Run. Set the Pay Frequency, Period Start, Period End, and Pay Date, then select Create Run.
  2. Open the run and enter Employee hoursRegular hrs, Overtime hrs, Double-time hrs, and Other earnings ($). Select Save hours.
  3. Select Calculate Run. It uses exactly the hours you saved.
  4. Review the Run SummaryGross, Employee Taxes, Deductions, and Net Pay — then select Approve Run.
  5. Select Mark as Paid, then Post to GL to push the entries into your ledger.

Pay stubs become available as PDFs on the run once it has been calculated. A run's status moves through draft, calculated, approved, and paid.

Generating federal filings

Federal filings produces the artifacts; it does not transmit them.

  1. Open Federal filings and choose a Tax year.
  2. Select Download e-file on the row you need — W-2 (SSA EFW2), Form 941, or Form 940 (annual FUTA).
  3. Upload the file through the relevant government portal yourself.
  4. Come back and select Mark submitted, add the Confirmation #, and select Save so SaaSy tracks the status.

Availability

Payroll is enabled by default in the construction, manufacturing, and general packs only. The agency, professional services, e-commerce, SaaS, and nonprofit packs hide it; you can switch it on under Settings → Navigation.

Running payroll in-house is covered by the Payroll Processing add-on, which is included with your plan during the beta. Payroll settings shows its current status and pricing.

Two related capabilities sit outside this module:

  • Certified Payroll (WH-347) — Davis-Bacon certified payroll for public works projects. It requires the certpay entitlement, which is included free with every plan, or $99/mo standalone. The same entitlement covers the COI page described in Compliance.
  • Union & Labor Compliance — union locals, dues runs, fringe funds, and remittances. This is a paid add-on in no plan, billed by member band, and must be purchased separately.
