Record a task as an SOP
Some of your team's work happens on websites SaaSy does not run: a quarterly state filing, a bank statement download, a certified payroll upload. Step capture lets you do that task once in your browser while the SaaSy browser extension records each step. SaaSy turns the recording into a draft SOP with a screenshot for each step, which you review, clean up, and publish like any other SOP.
Step capture is being rolled out. If the extension has no Step capture section, or tells you step capture is turned off, it is not enabled for your workspace yet.
How it works
- An admin chooses which websites can be recorded. Nothing can be recorded anywhere else.
- You start a recording in the extension, do the task, and stop.
- You review the steps in the extension. Nothing leaves your browser until you upload.
- SaaSy checks every screenshot again, writes the step text, and saves a draft SOP.
- You edit the draft in SaaSy, hide anything that should not be in it, and publish.
Recording always starts with a click in the extension. There is no setting that records in the background.
Choose which sites can be recorded
Only a workspace admin can do this. Until at least one site is on the list, nobody in the workspace can start a recording.
- Open SOPs from the Work section of the sidebar and select the My SOPs tab.
- Find the Step capture sites card.
- Enter a site under Site, pick how it should match, and choose Add site:
- This site and its subdomains covers the domain and everything under it. Enter the main
domain, such as
example.com, and it coversexample.com,www.example.comandfiling.example.com. - Only this exact address covers one host name and nothing else, such as
filing.example.com.
- This site and its subdomains covers the domain and everything under it. Enter the main
domain, such as
- To remove a site, choose the trash icon next to it.
SaaSy refuses IP addresses, bare names without a domain, and shared endings such as co.uk. If a
site is refused, the card tells you why.
Record a task
You need the SaaSy browser extension installed and signed in to your workspace.
- Go to the first page of the task on an allowed site. Recording works on
httpspages only. - Open the extension and choose Start recording under Step capture.
- Your browser asks for permission to access websites. SaaSy needs it to take the screenshots, and gives it back when the recording stops.
- Do the task as you normally would. Each click, choice, and form submit becomes a step. The extension shows how many steps it has recorded so far.
- Choose Stop recording when you are done.
A recording follows only the tab you started it in. Steps on a page outside the allowed sites are not recorded. A recording also stops by itself when you close the tab, after 30 minutes, or at 100 steps.
What is recorded
For each step, the extension keeps what you did (for example "Click Submit claim"), the name of
the button or field, the page title, and the page address without anything after a ? or #. It
also takes one screenshot of the page.
What you type is never recorded. A typing step reads "Type in Email", never the email itself.
What gets hidden in screenshots
Every screenshot is masked in your browser before it is stored anywhere. Masks are solid black boxes, not blur, because blurred numbers can sometimes be recovered.
- Every form field, whatever it holds. Values you typed or that the site filled in never appear.
- Sensitive text anywhere on the page: Social Security numbers, card numbers, bank account and routing numbers, dates of birth, email addresses, phone numbers, street addresses, and keys or tokens. Password, one-time-code, card, and birthday fields also have their labels hidden.
- Anything the extension cannot read, such as embedded frames, videos, and drawing areas.
Why a step has no screenshot
When the extension cannot be sure a screenshot is safe, it drops the screenshot and keeps the step as text. That happens when:
- the page scrolled, resized, or changed while the screenshot was being taken;
- the masks would cover more than 60 percent of the image;
- you had switched to another tab or left the page the step happened on;
- steps came faster than the browser allows screenshots (two per second);
- the page did not answer the extension's checks in time.
A step with no screenshot is still a useful step. You can describe what to look for in its text.
Review and upload
When the recording stops, the extension lists every step with its screenshot. Nothing has left your browser yet.
- Choose Delete on any step you do not want in the guide.
- Choose Remove image to keep a step but drop its screenshot.
- Choose Upload draft, then Confirm upload. Choose Discard capture instead to throw the whole recording away.
SaaSy then checks every step and screenshot:
- If any step is on a page outside the allowed sites, the whole upload is refused and nothing is saved. Delete that step and upload again.
- SaaSy reads the text in each screenshot again. A screenshot that shows sensitive text, or that SaaSy could not check, is dropped and the step stays text only.
The extension then shows what happened to each step. Choose Open in SaaSy to go to the draft.
SaaSy's AI writes the step text and a title from what you clicked and the page titles. It never sees your screenshots or anything you typed. If AI is unavailable or your workspace has reached its AI spending limit, SaaSy writes plain step text instead, such as "Click Submit claim".
Edit the draft in SaaSy
The draft appears under SOPs on the My SOPs tab. Choose Open, then Open the step view to see its steps and screenshots. The extension's Open in SaaSy link goes straight there.
- Change the title at the top, and edit any step's text. You can add tips to a step or combine two steps by editing their text.
- Use the arrows to move a step up or down, and the trash icon to delete a step.
- Choose Save to keep your changes.
When you delete a step and save, its screenshot is permanently deleted. Deleting a whole draft permanently deletes all of its screenshots.
Hide more of a screenshot
- Choose Hide part under a screenshot.
- Drag a box over anything that should not be in the guide. Add as many boxes as you need. Use Undo or Clear to start over.
- Choose Save masked screenshot.
The boxes become part of the image. The original screenshot is permanently deleted, not kept in the background.
Publish
Choose Publish and confirm. A published guide:
- becomes read-only;
- appears on your team's Needs sign-off tab so each person can acknowledge it;
- is used by any AI agent the SOP is attached to. Drafts never reach an agent.
Review every step and screenshot before you publish. See Work Management for the rest of the SOP library and sign-off.
